VocaDent is an AI phone agent for HVAC and plumbing shops. When a call comes in that nobody picks up, after hours or while your crew is on a job, it forwards to VocaDent, which answers in your business name, captures the job, books it straight into your Google Calendar once you connect it, and texts your alert number as soon as an urgent call ends. By default it only handles the calls you're already missing, or you can run it as your full-time AI receptionist on the Pro plan. You do it yourself. The form takes about 2 minutes, and a few required steps follow it. The form asks what your agent should be called, your business hours, the greeting it answers with, any notes on when a call should reach a person, and your business phone number. Submit it and your agent is built right then, with a dedicated number matched to your area code when one is available. Then you confirm your plan at checkout and add your services and prices in the portal, because the agent can't quote until you do. Once one service is saved, you forward your line to that number and it starts taking calls. If you'd rather not do it on your own, ask us and we'll walk through it with you.

It introduces itself honestly and sounds natural, but it's built to hand off fast. If a caller wants a human or goes off-script, it captures their info and flags the call in your dashboard instead of faking its way through, and it can transfer straight to your phone when you set up a transfer rule. It would rather say "let me have the owner call you right back" than guess at a price or a promise.
It quotes from the service list and prices you give us, and it won't go past them. Ask it something you never covered, a dispatch fee, whether you cover a certain zip code, and it doesn't guess. It tells the caller the team will confirm that directly, and the question stays in the call transcript for you to read. That refusal is the real protection, because a limit set wrong can still let a bad quote through and a refusal can't. On scheduling, until you connect Google Calendar it is not allowed to tell anyone they're booked, only that you'll confirm the time. You review every call in your dashboard, and because it runs on call forwarding, turning off forwarding from your own phone shuts it off instantly, no ticket and no waiting on us.
In your portal, in the same alert settings as your alert phone, you write out what counts as urgent for your trade: no heat in winter, a gas smell, a sewage backup, active flooding, plus any custom rule you want it to escalate on. Alerts go out on the urgent ones where someone is booking a job, asking about your higher-priced work, cancelling, or raising a complaint, a text and an email the moment the call ends, to the number and inbox you set in your dashboard. Those are the calls that cost you money to miss. An occasional urgent call may not trigger an alert, so the dashboard remains the complete record. Other urgent calls are still flagged in your dashboard, they just don't wake you. You can switch the alerts off entirely from settings.
You set your transfer rules in the portal after onboarding: what has to happen on a call, and the number to ring. The onboarding form only takes optional routing notes in plain English. If a call needs a person, like an emergency or a question outside its rules, it captures the caller's information and flags it for follow-up. You can also have it transfer straight through to specific people on your team.

Google Calendar is live: connect it and the agent books appointments into it during the call. Custom webhooks are on Growth and above, and every completed call is posted to the endpoint you set, so you can wire calls into Zapier, Slack, or anything else that accepts an HTTP request. A native HubSpot and Salesforce app is still on the roadmap; you can reach both through Zapier today.
All call data is encrypted in transit and at rest. We use Supabase (built on PostgreSQL) with row-level security, and all API communications use TLS 1.2 or higher. We do not sell your call data, and we never hand it to advertisers or data brokers. We do use outside providers to run the service, and they process your data on our behalf under contract: ElevenLabs handles the voice and produces the transcript, Anthropic reads that transcript to flag urgent calls, Supabase stores it, Twilio carries the phone number, and Stripe handles billing.
