Privacy Policy

VocaDent (“we,” “our,” or “us”) operates the VocaDent service, including our website at vocadent.com and related applications. This Privacy Policy describes how we collect, use, and share information when you use our services.

By using VocaDent, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Account and contact information: When you sign up or contact us, we collect your name, email address, phone number, and business name.

Payment information: We collect billing details necessary to process payments. Payment card data is handled directly by Stripe, Inc. and is not stored on our servers.

Call data: When your AI agent handles calls, we collect call metadata (duration, timestamps, caller ID in E.164 format), audio recordings, and transcripts generated by our AI provider. Caller phone numbers displayed in your dashboard are masked.

Usage data: We collect information about how you use our platform, including pages visited, features used, and actions taken within the dashboard.

Technical data: IP addresses, browser type, device identifiers, and cookie data collected automatically when you visit our site.

2. How We Use Your Information

  • Provide, operate, and improve the VocaDent service
  • Process payments and manage your subscription
  • Route and handle inbound phone calls on your behalf
  • Generate transcripts and call summaries
  • Send service-related emails (receipts, usage alerts, policy updates)
  • Respond to your support requests
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

We do not sell your personal data to third parties.

3. Data Sharing

We share data only with service providers necessary to operate VocaDent:

  • Supabase — database hosting and authentication (data stored in the U.S.)
  • ElevenLabs — AI voice processing and transcript generation
  • Twilio — phone call routing and telephony infrastructure
  • Stripe — payment processing
  • Resend — transactional email delivery
  • Vercel — website hosting and edge infrastructure

Each provider is subject to its own privacy policy and data processing terms. We do not share your data with advertising networks or data brokers.

4. Data Retention

We retain your account data for as long as your account is active. Call recordings and transcripts are retained for up to 90 days by default. You may request earlier deletion by contacting us. After account cancellation, we delete or anonymize personal data within 60 days unless retention is required by law.

5. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate data
  • Deletion — request deletion of your personal data
  • Portability — request your data in a machine-readable format
  • Opt-out of sale — we do not sell personal data, but you may contact us to confirm

California residents may exercise rights under the California Consumer Privacy Act (CCPA). EU/UK residents may exercise rights under the General Data Protection Regulation (GDPR). To submit a request, contact us at whudd2006@gmail.com.

6. Cookies

We use essential cookies to maintain your session and authentication state. We do not use third-party advertising cookies. You may disable cookies in your browser settings, but some features of VocaDent may not function correctly.

7. Security

We use industry-standard measures to protect your data, including TLS 1.3 encryption in transit and AES-256 encryption at rest via our database provider. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

VocaDent is not directed to individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the dashboard at least 14 days before the change takes effect. Continued use of VocaDent after the effective date constitutes acceptance of the updated policy.
